Your personal data:

Club Members: We hold one or more of the following personal data relating to our members:

  • Name
  • Email Address
  • Postal Address
  • Telephone Number

In the case of minors, their personal data (consisting of their name and birth year) will be kept along with the personal data of their parents or guardian as outlined in the previous paragraph. In no case will a minor’s personal data be used for other than club records.

Website Visitors: 

We may collect your name, email address, physical address, and phone number if you provide it to us when visiting our website, including in connection with a contact request. In addition, we may also collect information such as web server logs, internet protocol (IP) addresses, browser type, or other statistical information as part of aggregated data. 

How your personal data is used:

We use your personal data for the following purposes:

  • To maintain a record of our membership
  • To administer membership payments
  • To distribute information to our members
  • To administer contests, auctions and/or giveaways

How long we retain your data:

We keep your data for the duration of your Club Membership.

For users that register on our website, or submit a contact request, we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

Cookies:

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

hCaptcha

We use the hCaptcha security service (hereinafter “hCaptcha”) on our website. This service is provided by Intuition Machines, Inc., a Delaware US Corporation (“IMI”). hCaptcha is used to check whether user actions on our online service (such as submitting a login or contact form) meet our security requirements. To do this, hCaptcha analyzes the behavior of the website or mobile app visitor based on various characteristics. This analysis starts automatically as soon as the website or mobile app visitor enters a part of the website or app with hCaptcha enabled. For the analysis, hCaptcha evaluates various information (e.g. IP address, how long the visitor has been on the website or app, or mouse movements made by the user). The data collected during the analysis will be forwarded to IMI. hCaptcha analysis in the “invisible mode” may take place completely in the background. Website or app visitors are not advised that such an analysis is taking place if the user is not shown a challenge. Data processing is based on Art. 6(1)(b) of the GDPR: the processing of personal data is necessary for the performance of a contract to which the website visitor is party (for example, the website terms) or in order to take steps at the request of the website visitor prior to entering into a contract. Our online service (including our website, mobile apps, and any other apps or other forms of access offered by us) needs to ensure that it is interacting with a human, not a bot, and that activities performed by the user are not related to fraud or abuse. In addition, processing may also be based on Art. 6(1)(f) of the GDPR: our online service has a legitimate interest in protecting the service from abusive automated crawling, spam, and other forms of abuse that can harm our service or other users of our service. IMI acts as a “data processor” acting on behalf of its customers as defined under the GDPR, and a “service provider” for the purposes of the California Consumer Privacy Act (CCPA). Where your data is sent:

Visitor comments may be checked through an automated spam detection service.

Embedded content from other websites:

Articles on this site may include embedded content (e.g. videos, images, articles, etc.) or links to another website. Embedded content from and links to other websites behaves in the exact same way as if the visitor has visited the other website originally.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

What rights you have over your data:

  • The right to request that the High Plains Modelers corrects any personal data if it is found to be inaccurate or out of date.
  • The right to request that your personal data is erased where it is no longer necessary for the High Plains Modelers to retain such data.
  • If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us.
  • This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Further processing:

Should we wish to use your personal data for a new purpose not covered by this Privacy Policy, or if local, state, or federal laws require changes/updates to this Privacy Policy, then we will provide you with a new notice. The new notice will be issued prior to commencing the processing and will set out the relevant purposes and processing conditions. If necessary, we will seek your prior consent to the new processing.

Photography Policy:

All images and recordings (both audio and/or video) created by HPM or its representatives are the property of the club and may not be reproduced without written permission. Visitors who take photographs at HPM meetings and/or events must respect copyright laws and refrain from using images of HPM exhibits or events for commercial purposes without prior authorization from HPM.

Attendance at HPM meetings, including public events, implies consent to being photographed or recorded for promotional purposes. For photographs of minors, HPM will only use images where prior written consent has been obtained from a parent or guardian or if a minor in the image unidentifiable. If a visitor or their family does not wish to be photographed or featured, they may contact HPM’s webmaster/social media coordinator team via the Contact the Webmaster form to request the removal of any specific images from our website or social media platforms.
